Can you see it working before you buy?

Every dashboard is built for the business in front of us, out of whatever that business already runs on. This one belongs to a private dental practice, twelve months to April, and it runs in three steps: what the dashboard said the day it was connected, what the build found underneath it, and what turned out to be true.

The figures are a demonstration, not a client’s, and the dashboard says so at the top of itself. We’d rather show you the whole instrument, every figure checkable against every other, than a redacted corner of a real client’s.

Analytics counted 196 bookings. 38 of them were real.

For twelve months the dashboard looked healthy. Traffic up sixty-five per cent, revenue climbing every month. Two numbers were quietly wrong the whole time: the booking rate slid from 3.1 per cent to 2.2, and the reported cost per booking climbed from £18 to £32. On that evidence, every sensible next move was the wrong one.

The booking form runs inside a third-party window, so analytics could see somebody click Book now and nothing after it: not the appointment, not the payment, not whether it completed at all. Every click was filed as a booking. Of the 196 it counted in April, 158 never completed. And a patient who picked up the phone left no trace on the website, so they were never counted at all.

Wire the booking system and the calls in, and April had 87 new patients, 38 from the web and 49 by phone. The search ads had reported £32 a booking and had in fact cost £250 for each new patient, against the £310 one is worth in a first year. The social media ads cost £600 for a single patient. And 73 of the 87 came from channels that cost nothing at all, while 14 came from £3,850 of advertising. That’s where the example stops: the numbers are trustworthy at last, and nothing has been decided yet.

What access do you need, and what happens to your data?

Access is read-only, and no personal data about your customers enters the dashboard.

Questions people ask

What if I don’t run any ads?

It still works. The dashboard reads the channels that bring you customers, paid or not. In the example, 73 of the 87 new patients came from channels that cost nothing, and knowing which ones is worth as much as knowing what the ads cost.

What if my analytics is a mess, or I have none?

That’s usually the finding rather than the obstacle, and analytics is rarely where your numbers actually live. You’re already running the business on something: whatever takes the bookings, whatever holds the client records, whatever the phone rings into. Working out what that is and joining it up is the job. We then tell you plainly what the result can and can’t show, and what it would take to close whatever is still missing.

Will it work with the tools I use?

Usually, yes. We read the booking system itself rather than guessing from clicks on your website, and where your records live in a spreadsheet rather than a system, we build from that instead and update it as often as you need. Some phone setups can’t carry attribution, and where yours is one of them we’ll tell you plainly what it would take rather than leave a hole in the numbers.

I’m not a dental practice. Is this for me?

Yes, if you’re owner-led and you put money or time into growing. We have done this across private GP, dental and psychotherapy practices, online fashion, and financial services. The worked example is an illustration rather than a client of ours, and it’s a dental practice because the fault it turns on, what goes out and what comes back never being joined up, is one we find almost everywhere, not because the work is only for dentists.
